("AI Finance Circuit", "we", "us", "our") collects, uses, discloses, retains and protects personal data when you visit aifinancecircuit.life, enrol in our vocational AI finance-management courses, attend studio sessions in Tanjong Pagar, or otherwise interact with our Singapore education services. We are committed to compliance with the Personal Data Protection Act 2012 (No. 26 of 2012) ("PDPA") and applicable guidance issued by the Personal Data Protection Commission ("PDPC").

AI Finance Circuit is the organisation responsible for determining the purposes and means of processing personal data described in this policy. We operate as a vocational training provider — not a licensed financial adviser — and personal data is processed in support of educational services only.
2. Scope and applicability
This policy applies to personal data collected through:
- The website aifinancecircuit.life, including contact forms, cookie interactions and server logs;
- Email, telephone and in-person communications regarding curriculum enquiries, prospectus requests and corporate AI finance training;
- Enrolment, payment and attendance records for live cohort, self-paced, weekend intensive and corporate workshop formats;
- Studio visits at our Guoco Tower location near Tanjong Pagar and Anson Road;
- Alumni Q&A sessions and optional graduate community communications.
This policy does not govern third-party websites, AI tool providers (such as OpenAI, Microsoft or Anthropic), payment processors or social platforms linked from our pages. Those services maintain independent privacy practices. When you use generative AI tools during coursework, you should review each provider's terms and avoid submitting sensitive identifiers or third-party financial records without appropriate safeguards.
3. Categories of personal data we collect
Depending on your relationship with us, we may collect the following categories of personal data:
3.1 Identity and contact information
Full name, email address, telephone number, postal address, job title, company or organisation name, and preferred communication language. For corporate workshop bookings we may also collect billing contact details and purchase-order references.
3.2 Enrolment and educational records
Course selections, cohort assignments, attendance logs, exercise submissions (when voluntarily shared for facilitator review), capstone project descriptions, completion status and certificate issuance records. We instruct participants to use anonymised sample data in exercises and not to submit live bank account numbers, NRIC, passport numbers or third-party financial statements through unsecured channels.
3.3 Financial and transactional data
Invoice details, payment confirmation references, SGD fee amounts, refund records and tax identifiers where required for commercial invoicing. We do not collect or store credit card numbers directly on our servers; card payments are processed by third-party payment providers under their PCI-compliant environments.
3.4 Technical and usage data
IP address, browser type and version, device operating system, referring URL, pages viewed, session duration, form submission timestamps and error logs. Where you consent to analytics cookies, aggregated visit statistics help us improve site navigation and content relevance.
3.5 Communication records
Content of emails, contact form messages, call notes where documented, and correspondence related to PDPA access or correction requests.
3.6 Cookie and preference data
Your cookie consent selection (Accept all, Reject all or customised preferences), stored for six months as described in our Cookie Policy.
We do not intentionally collect sensitive personal data such as health information, religious beliefs, biometric identifiers or government-issued ID numbers unless you voluntarily provide them and we have a lawful basis — for example, NRIC for statutory invoicing where applicable law requires it, with explicit notice at collection.
4. Purposes of collection, use and disclosure
We collect and use personal data for the following purposes:
- Responding to enquiries: Processing contact form submissions for curriculum enquiries, prospectus requests, corporate AI finance training and general questions — requiring explicit PDPA consent via checkbox before submission.
- Delivering vocational courses: Managing enrolment, scheduling Tanjong Pagar studio sessions, providing course materials, facilitating AI finance-management exercises and issuing completion certificates that reflect training participation only.
- Administration and billing: Preparing invoices in SGD, confirming payments, managing refunds per enrolment terms and maintaining accounting records required under Singapore law.
- Communication: Sending service-related messages about cohort dates, venue instructions, material updates and alumni Q&A invitations — not unsolicited marketing without separate consent.
- Website operation and security: Maintaining server functionality, detecting abuse, preventing fraud and protecting the integrity of aifinancecircuit.life.
- Analytics and improvement: Understanding aggregated traffic patterns and content effectiveness where analytics cookies are consented to.
- Legal compliance: Responding to regulatory requests, enforcing our Terms of Use, protecting our legitimate interests and cooperating with law enforcement where required by applicable law.
We may disclose personal data to:
- Hosting and infrastructure providers operating under contractual confidentiality and data-processing obligations;
- Payment processors for transaction completion;
- Professional advisers (legal, accounting) bound by confidentiality duties;
- Corporate clients who sponsor team enrolments, limited to participant names and attendance where contractually agreed;
- Regulatory or judicial authorities when legally compelled.
We do not sell personal data. We do not share enrollee financial account details with AI tool vendors — participants interact with third-party AI services under those providers' own terms.
5. Legal bases under the PDPA
Our processing relies on one or more of the following bases under Singapore law:
- Consent: Contact forms and optional cookies require affirmative consent. You may withdraw consent for marketing communications at any time without affecting lawful processing prior to withdrawal.
- Contractual necessity: Processing required to perform enrolment agreements — scheduling sessions, delivering curriculum and issuing certificates.
- Legal obligation: Retaining financial records for statutory periods, responding to valid regulatory requests.
- Legitimate interests: Securing our website, preventing fraud, improving course delivery and managing alumni relations — balanced against your privacy rights and implemented with appropriate safeguards.
Where consent is the basis, we obtain it through clear, informed mechanisms — notably the unchecked PDPA consent checkbox on our contact form and the cookie preference banner with six-month storage of your selection.
6. Retention periods
We retain personal data only as long as necessary for the purposes collected:
- Enquiry records: Up to twenty-four months from last contact unless an enrolment relationship begins.
- Enrolment and certificate records: Up to seven years from course completion for audit, dispute resolution and regulatory compliance.
- Financial records: As required under Singapore tax and accounting regulations, typically five to seven years.
- Server logs: Up to twelve months unless extended for security investigations.
- Cookie preferences: Six months from your banner selection, then re-prompted.
When retention periods expire, we securely delete or anonymise data unless a longer period is required by law or active legal proceedings.
7. Cross-border transfers
Our primary operations and data storage are oriented toward Singapore. Where we use service providers with processing facilities outside Singapore, we take reasonable steps to ensure comparable protection — contractual clauses requiring PDPA-equivalent safeguards, vendor due diligence and limitation of transferred data to what is necessary. You may request details of cross-border arrangements by contacting [email protected].
8. Your rights under the PDPA
Subject to exceptions under the PDPA, you have the right to:
- Access: Request confirmation of whether we hold your personal data and obtain a copy in reasonable form.
- Correction: Request correction of inaccurate or incomplete personal data.
- Withdrawal of consent: Withdraw consent for processing that relies on consent — we will cease such processing unless another legal basis applies.
- Data portability: Where applicable and technically feasible, receive certain data in a structured, commonly used format.
Submit requests to [email protected]. We respond within thirty days unless an extension is permitted under the PDPA. We may request reasonable identity verification before releasing data. If you believe we have not handled your data appropriately, you may contact the Personal Data Protection Commission of Singapore.
9. Security measures
We implement administrative, technical and physical safeguards appropriate to the nature of data processed — access controls limiting staff access to need-to-know bases, encrypted transmission (HTTPS) for website interactions, secure hosting infrastructure, and staff training on PDPA obligations and the importance of not entering live financial credentials into demonstration AI tools during sessions. No method of transmission or storage is completely secure; we encourage participants to follow course guidance on AI accuracy checks and data minimisation.
10. Children's data
Our vocational courses target adult professionals and SME operators. We do not knowingly collect personal data from individuals under eighteen without parental or guardian consent. If you believe we have inadvertently collected a minor's data, contact us for prompt deletion.
11. Third-party AI tools in coursework
Our curriculum teaches use of ChatGPT, Copilot, Claude and spreadsheet AI features. When you choose to use these tools — whether during sessions or independently — your inputs may be processed by third-party providers under their privacy policies. We instruct participants to avoid submitting personal identifiers, full account numbers, NRIC, or third-party financial records into AI interfaces. AI Finance Circuit is not responsible for third-party AI data practices, but we design exercises to minimise unnecessary personal data exposure and emphasise PDPA-aware habits for Singapore professionals.
12. Updates to this policy
We may update this Privacy Policy to reflect legal changes, new course formats or website functionality. Material changes will be posted on this page with an updated "Last updated" date. Continued use of our services after changes constitutes acknowledgement of the revised policy where permitted by law. For significant changes affecting consent-based processing, we will seek fresh consent where required.
